About This Role

This Executive Assistant role is an excellent opportunity for a self-motivated professional who enjoys working in a fast-paced environment at a mission-driven organization. Reports to: President

ESSENTIAL RESPONSIBILITIES (including but not limited to):

  • Demonstrates initiative and problem solving by proactively and thoughtfully identifying opportunities to make the President and Senior Leadership team more efficient, effective, and impactful.
  • Gatekeeper of the President’s calendar: schedules meetings, conferences, teleconferences and arranges detailed and complex travel plans and logistics. Prioritizes appropriately and ensures the schedule is respected and followed.
  • Coordinates events, invites and commitments with internal and external stakeholders.
  • Composes communications on behalf of the President and the organization for a variety of audiences. Must be able to emulate President's "voice" and organization’s messaging and maintain strict confidentiality. In a ghost-writer capacity, responds to correspondence and drafts communications on behalf of President.
  • Supports Board and Board Committee matters including drafting minutes, formatting presentations, scheduling meetings, tracking attendance, and preparing and distributing materials before meetings.
  • Manages President's inbox and determines/recommends appropriate course of action, referral, or response. Ensures timely and appropriate follow up to all requests made to the President.
  • Manages a variety of special projects for the President, some of which may have broad organizational impact.
  • Serves as a key liaison to the FIRST Founder’s office.
  • Handles a variety of other administrative tasks on behalf of the President or Senior Leadership Team including document preparation, editing PPT presentations, approving staff expenses, etc.

EDUCATION/EXPERIENCE:

  • A minimum of three (3) years of experience in an executive assistant role or equivalent relevant experience
  • A minimum of a high school diploma; Bachelor's or Advanced degree preferred
  • Advanced proficiency with Microsoft Office programs
  • Excellent professional oral and written communication skills
  • Superior customer-service skills
  • Excellent planning and organization skills with a high degree of attention to detail
  • Event planning and project management experience a plus
  • Ability to work in a fast-paced, high performing and sometimes unpredictable environment
